Employee QR Card

Employee QR Cards — Attendance Tracking Without Smartphones or Biometric Devices

Not every worker has a smartphone. Not every factory can afford a biometric machine for each entry point. For daily-wage workers, construction labour, and high-turnover teams, there's a simpler option: a printed QR card per person, scanned by a supervisor at the gate.

Print the card from the admin dashboard. Each card has a unique QR tied to that worker's profile. At shift start, the supervisor scans each incoming worker's card using one phone. The check-in records who came in and exactly when. Workers need nothing — no app, no phone, nothing to remember.

How Employee QR Card attendance works

The simplest check-in method available — one phone, printed cards, and a supervisor at the gate.

1

Add workers and print their cards

Add each worker in the admin dashboard — name and optional phone number. Download and print their unique QR card. Hand it to them on their first day. The card works as their permanent attendance ID until they leave.

2

Supervisor scans cards at gate entry

As workers arrive, the supervisor uses the TheCheckIn app to scan each person's card. Takes 2–3 seconds per scan. A team of 20 workers is checked in within 2 minutes. Workers need nothing — just their card.

3

Or: set up a self-scan point

Mount a tablet or shared phone near the entrance with the TheCheckIn app open in scan mode. Workers scan their own card as they walk in — no supervisor needed at all. Works for any entry point that can have a device mounted.

4

Dashboard and payroll reports update live

Admin sees who's been scanned in and who hasn't. Late arrivals are flagged. At month end, total days and hours per worker are ready for payroll — for daily-wage workers, contract staff, and permanent employees all in one export.

Why Employee QR Cards work where other methods don't

Workers don't need a smartphone at all

Daily-wage workers, factory floor staff, and seasonal workers often don't have smartphones — or don't want to install apps on their personal device. A printed card is all they need. The supervisor's one phone handles all scanning for everyone.

New contract workers are live in 60 seconds

A biometric machine requires enrollment — fingerprint registration, a technician, the machine to be working. With Employee QR Cards, add a worker's name, download their card, print it, hand it over. They can check in on day one, minute one.

Any printer, any paper — there's no minimum order

Cards print from the admin dashboard as PDFs. Print on regular A4, cut them, laminate if you want durability. Or print on card stock directly. No vendor to order from, no 3-day shipping wait, no minimum quantity.

Lost card? Deactivate and reprint in 30 seconds

Deactivate the lost card from the admin dashboard — it becomes unusable immediately. Print a new one. The worker's attendance history is unaffected and they're back to checking in the same day. No biometric re-enrollment, no IT ticket.

Questions about Employee QR Cards

Common questions from managers using QR cards for workers without smartphones.

About 2–3 seconds per card. For a team of 20 workers, gate check-in takes under 2 minutes. The app's scan mode keeps the camera open between scans so the supervisor doesn't have to re-open it after each worker.
Deactivate the old card from the admin dashboard — it stops working immediately. Print a new one. The worker's profile and attendance history stay intact. Replacement takes less than a minute and costs only the paper and ink to print it.
When a supervisor scans, they can visually confirm the person holding the card. For higher-security environments, enable face recognition alongside QR cards — the scan validates the card and the face match confirms the person. Card sharing is immediately detected and blocked.
Under 60 seconds. Add their name (and optionally a phone number), download their QR card, print it, hand it over. They can check in immediately. When their contract ends, deactivate them with one click. Their attendance record stays in the system for payroll and compliance.
