Attendance Tracking for HVAC Technicians — GPS Check-in on Their Phone

Your HVAC technician starts from home, drives to a client's building across town, handles two more calls by afternoon, and finishes at a site you've never been to. You're tracking all of this on WhatsApp messages and a spreadsheet.

There's a cleaner way. TheCheckIn lets each technician check in from wherever they are — the GPS confirms the location, and the app records the exact time. By end of day you can see who arrived where and when, without calling anyone.

No hardware to install at every job site. No paper sign-in sheet. At the end of the month, timesheets are already calculated.

How HVAC technicians use TheCheckIn

A typical day — from first call to end of shift — with no extra steps for your team.

7am
Starts from home

Technician opens the app when they leave for the first job. GPS check-in records that their day has started. No need to come to the office first.

9am
Arrives at first site

Check-in from the client site. The GPS confirms they're within the geofence for that location. You see it on the dashboard in real time. Time recorded automatically.

2pm
Second job site

Checks in again at the second site. Multiple check-ins per day are supported. Each one records location and time. The dashboard shows the full day's movement.

6pm
End of day

Checks out. Total hours worked are calculated automatically. At month end, timesheets for all technicians are ready — no one has to count days or add up hours.

What field service companies get from TheCheckIn

GPS confirms they're on site, not around the corner

When a technician checks in with GPS, the app records their exact coordinates. You set the geofence radius for each job site. If they're not close enough, the check-in isn't accepted.

Face recognition confirms it's the actual technician

A colleague can't check in for someone who hasn't arrived yet. The face recognition with liveness detection (eye blink) confirms the real person is there, not just their phone.

Payroll-ready timesheets every month

Total hours, overtime, and attendance status are calculated automatically from check-in and check-out data. Export to Excel and hand to payroll — or import into ERPNext or Sage 300.

Multiple sites, one dashboard

Each client location or recurring job site is a separate branch in TheCheckIn. The admin dashboard shows all technicians across all sites — who's on site, who hasn't checked in, and who's working late.

Questions from HVAC company owners

Real questions from people managing field teams for the first time with an app instead of WhatsApp.

Each client site or recurring location you want to track is added as a branch in TheCheckIn. Set the address and a geofence radius (e.g. 100 meters). When a technician checks in from that location, the GPS matches it to the right branch automatically. For one-off sites, GPS check-in still records the coordinates — you can review them in the dashboard even without a pre-defined branch.
GPS works reasonably well in most indoor environments, but accuracy varies. For sites where GPS is unreliable (deep basements, dense buildings), you can set up QR code check-in instead — a QR code posted at the site entrance that the technician scans on arrival. Both methods record the check-in time and link it to the branch.
Yes. TheCheckIn supports multiple check-in and check-out events per day. A technician can check in at site A in the morning, check out when they leave, check in at site B in the afternoon, and check out at the end. All events are logged and visible in the admin dashboard.
Face recognition happens on-device — no internet needed for the match. The check-in record queues locally and syncs to the server once the phone has data (mobile or WiFi). For most HVAC technicians who have mobile data, this isn't an issue. If they work in a signal dead zone all day, records sync when they're back in range.
Yes. TheCheckIn generates daily, weekly, and monthly timesheets automatically — with total hours worked per employee. You can export to Excel for your payroll team, or if you use ERPNext or Sage 300, import directly into those systems for payroll processing.
