Branch QR Check-in

QR Code Attendance — Replace the Sign-in Register in 5 Minutes

A paper register at reception gets filled in late, filled in incorrectly, or not at all. At the end of the month, you're cross-referencing handwriting in a notebook against your payroll. It works, but it's the least reliable part of your HR process.

Print the branch QR code from the admin dashboard and mount it near the entrance. When staff arrive, they open the app and scan it. That's a permanent, timestamped check-in record — no manual entry, no ambiguity. It takes 3 seconds and your dashboard updates in real time.

How branch QR attendance works

Print once, use every day. No maintenance, no hardware to service.

1

Generate and print the QR code

Log in to the admin dashboard, go to your branch, and download the QR code. Print it on A4 or card stock. Laminate it if you want it to last longer. Mount it near the reception or entrance — it's now your permanent check-in point.

2

Staff install the free app once

Each staff member downloads the TheCheckIn app from Google Play — free, one-time setup. They log in once with their registered details. After that, every check-in is just: open app → scan QR. No credentials to type each time.

3

Scan on arrival, scan on exit

When a staff member arrives, they scan the QR. That's their check-in — timestamped, tied to their profile, and logged immediately. When they leave, they scan again for check-out. The total hours for the day are calculated automatically.

4

Dashboard and timesheets update live

The admin dashboard shows who's in right now, who's late, and who hasn't arrived. At month end, total hours per person are ready to export. No reconciling — it's all already there from the daily scans.

Why branch QR check-in works better than a paper register

The timestamp can't be changed after the fact

A paper register can be filled in at the end of the day with a made-up time. A QR scan records the exact moment it was scanned — and that record is permanent. Staff can see their own history; only admins can make corrections, and corrections are logged.

Each QR is unique to one location

If you have 3 branches, each has its own QR code. A staff member checking in at Branch A using Branch A's QR is recorded as present at Branch A — not a generic "present." Multi-location attendance is separated automatically without any admin work.

3 seconds per person — faster than signing a register

Signing a register takes longer than a QR scan, especially if the pen isn't there or the register is across the room. QR scanning is faster, requires no writing, and the dashboard update is instant. For teams that rush through the door at 9:00am, it creates zero friction.

Add face recognition for proxy prevention

QR check-in alone confirms the phone was there — not who was holding it. If proxy attendance is a concern, enable face recognition alongside QR. The staff member scans the QR and then completes a face match. Both checks pass before the attendance is recorded.

QR vs other check-in methods

Best for: offices, retail, restaurants, classrooms. Staff arrive at a fixed location and scan on entry. Simple and fast.

Best for: proxy prevention, high-security sites, clinics. Verifies identity — not just that a phone is present.

Best for: field workers, construction sites, delivery drivers. Confirms location when there's no fixed QR point.

Best for: factory workers without smartphones. Supervisor scans each worker's printed ID card.

Questions about QR code attendance

Common questions from managers setting up QR check-in for the first time.

Yes — the TheCheckIn employee app is required for QR scanning. It's a free Android app. Once installed, staff open it, tap Check In, and scan the QR. After the first login setup, each subsequent check-in takes 3–5 seconds and requires no credentials to retype.
The QR code alone doesn't enforce location. To prevent remote proxy, combine QR check-in with GPS geofencing — the scan is only accepted within a set radius of the branch. Or enable face recognition, which verifies the person's identity in addition to the scan.
Yes. Each branch in TheCheckIn has its own unique QR code. If you have three offices, each gets a separate QR. Staff scan the QR for wherever they are that day. The dashboard shows attendance per branch separately — no manual sorting needed.
Download and reprint it from the admin dashboard at any time — the QR code stays the same, so existing staff don't need any changes to their app. Laminating the print or displaying it on a mounted tablet near the entrance avoids damage from handling.
