Retail & Shops

Retail Staff Attendance — QR Check-in for Every Shift, Every Branch

You manage three shops. Each has a morning shift and an afternoon shift, a mix of full-timers and part-timers. At the end of the month, calculating who worked how many hours — and handling the payroll disputes that follow — takes more time than it should.

TheCheckIn puts a QR code at each branch. Staff scan it when they arrive, scan it when they leave. You see every branch in one dashboard — who's in, who's late, who's absent. Timesheets calculate themselves at the end of the month. No spreadsheet needed.

How shift attendance works in a retail store

Place a QR code at the staff entrance. That's the only setup required at each branch.

1

Print the branch QR code

Each branch gets a unique QR code generated in your admin dashboard. Print it and stick it near the staff entrance. That's all the hardware you need — a piece of paper.

2

Staff scan in when they arrive

Staff member opens the TheCheckIn app on their phone and scans the branch QR. Takes 3 seconds. Check-in time is recorded. They do the same when leaving.

3

Dashboard shows all branches live

As admin you see every branch's attendance in real time. Who checked in, who's late, who hasn't arrived. No calls to branch managers to find out the morning headcount.

4

Payroll export at month end

Monthly timesheets with total hours per staff member are generated automatically. Export to Excel for payroll processing. No disputes — every check-in and check-out is timestamped.

What retail businesses get from TheCheckIn

QR code replaces the sign-in book

No paper, no pen, no handwriting that's illegible two months later. Every check-in is a timestamped digital record. The branch QR code is the only thing you need to put at each location.

Shift tracking for part-timers — no guesswork

Part-time retail staff often have irregular hours. Every scan is recorded — even if they work 4 hours on Monday and 6 on Friday. Monthly reports show exact hours per person so you pay the right amount every time.

One dashboard for all your branches

Whether you have 2 shops or 20, attendance across every branch is visible in one place. Filter by date, by branch, by employee, or export everything together. No need to collect spreadsheets from each branch manager.

No proxy check-ins for shared QR codes

If someone tries to check in using a screenshot of the QR code, TheCheckIn's face recognition option can be added as a second confirmation. Check in with QR + verify with face for branches where proxy attendance is a concern.

Questions from retail store owners

Common questions from people managing shift staff across one or more shops.

Use the Employee QR Card method. Each staff member gets a printed personal QR card. A shared tablet or the manager's phone at the branch entrance scans the card as they arrive. No smartphone needed by the staff member. Works equally well and records the same timestamp.
Yes. Staff members are assigned to branches in the system, but they can check in at any branch they're deployed to. If someone covers a shift at Branch 2 one week and Branch 3 the next, their attendance history reflects which branch they worked at each day.
TheCheckIn records actual check-in and check-out times. If a staff member works beyond their scheduled shift end, the extra hours are captured in the timesheet. You can set the expected shift hours in the admin dashboard and flag anything over that as overtime for payroll review.
The branch QR is a static code tied to that location. For most retail businesses, the risk is low since staff need to be in the branch anyway. If you want to prevent remote check-in, enable face recognition as a second layer — the staff member scans the QR at the branch and then confirms with their face. That combination ensures they're physically present.
