Staff Attendance for Schools — Teachers and Support Staff in One System

Your school has teachers who come in at 8am, admin staff on regular hours, and support staff — cleaners, security, lab assistants — on their own schedules. If you're still using a paper register or a shared spreadsheet to track all of them, you're spending 2–3 hours at the end of every month reconciling it for payroll.

TheCheckIn replaces the register. Staff check in with face recognition or a QR scan when they arrive. You see who's in right now, absences are flagged automatically, and timesheets are ready at month end with no manual work. It handles teachers, visiting lecturers, admin, and support staff in one place.

How school staff attendance works with TheCheckIn

One system for teaching staff, admin, and support — no paper, no spreadsheet reconciliation.

1

Configure departments and schedules

Create groups for Teaching Staff, Admin, and Support. Set the expected start time for each — teachers at 8am, admin at 9am, support staff at 7am. Each department tracks late arrivals relative to its own schedule.

2

Staff check in when they arrive

Each staff member checks in using the app — face recognition or the school's QR code. Takes 3 seconds. No paper, no form, no supervisor needed. The principal or administrator sees everyone marked present in real time.

3

Track who's present and who's absent

The dashboard shows today's attendance by department. Late arrivals, absences, and early check-outs are all flagged automatically. You know before the day's first class whether all teachers are in — not when a class is left unattended.

4

Payroll-ready reports at month end

Total attendance days and hours per staff member — ready for payroll without any manual compilation. Part-time teachers and visiting lecturers have their own accurate records. Export to Excel or connect to ERPNext.

What school administrators and management get from TheCheckIn

Paper registers get lost. Digital records don't.

A teacher signs a paper register, hands it to admin, it sits in a drawer. When payroll comes around, nobody can find the February register. Every TheCheckIn check-in is stored permanently and searchable by date, name, or department — from your phone or desktop.

Know if all teachers are in before first period

At 7:55am, the dashboard shows who has and hasn't checked in yet. If a class teacher hasn't arrived and hasn't applied leave, you can act — notify them, arrange cover — before students are sitting in an empty classroom. Not 30 minutes later.

Part-time and visiting staff tracked accurately

Part-time teachers who come in 3 days a week and visiting lecturers who come once a month are both tracked correctly. Their scheduled days are configured, and the system only counts days they were expected — no false absences on non-working days.

Month-end payroll takes 20 minutes, not a full day

Total working days per staff member, leave taken, late arrivals — all in one export. For schools that process payroll internally, this alone saves 3–4 hours per month. For schools using a payroll service, the data is clean and formatted for handoff.

Questions from school principals and administrators

Real questions from schools moving away from paper attendance registers.

Correct. TheCheckIn tracks employee (staff) attendance — teachers, admin, and support staff. It is not a student attendance system. For schools tracking whether students are in class, a different category of software is needed.
Yes. Group them as part-time or visiting staff and configure the days and times they're expected. The system only counts attendance on their scheduled days — no false absences on days they're not supposed to be in. Their total session count or hours are calculated accurately for payroll.
Yes. Set up a QR code at the school entrance or a shared device that support staff scan as they come in. Alternatively, use Employee QR Cards — each staff member gets a printed card and the gate supervisor scans them as they arrive. No smartphone needed on the staff member's side.
Holiday periods and non-working days are configured in the schedule. Staff are not marked absent during official school holidays. Specific leave types (annual leave, sick leave, public holiday) can also be logged so payroll records show the reason for each absence.
