Attendance Tracking for Clinic Staff — Doctors, Nurses, and Admin in One Dashboard

A clinic runs on three different types of staff with three different schedules. The morning doctor comes in at 9am. Nurses rotate through shifts. The admin team keeps regular hours. Tracking all of them separately — and reconciling it for payroll — takes time you don't have.

TheCheckIn puts all of them on one dashboard. Each staff member checks in with face recognition when they arrive — no biometric device, just their phone. You see who's in right now, by department, and timesheets are ready at the end of each pay period without anyone manually compiling them.

How clinic attendance tracking works with TheCheckIn

Built for mixed teams — doctors, nurses, and support staff all tracked together.

1

Set up departments and shifts

Create departments (Doctors, Nurses, Admin) and configure their shifts independently. Doctor morning clinic, nurse AM/PM rotation, and admin regular hours can all be tracked with different expected start times.

2

Staff check in at the start of their shift

Each staff member opens the app when they arrive and completes a face recognition check-in — takes 3 seconds. No fingerprint reader, no card tap, no manual sign-in sheet. The clinic administrator sees them marked present immediately.

3

Track who's in by department

The admin dashboard shows attendance by department — are all doctors in for the morning session? Has the night nurse arrived to replace the day shift? You know before it becomes a problem, not after a patient asks why there's no nurse.

4

Payroll report at end of month

Total hours per staff member, broken down by day and shift. Part-time doctors get their session count. Nurses get their shift hours. Export to Excel for payroll, or connect to ERPNext for automatic sync.

What clinic administrators and owners get from TheCheckIn

All staff types in one view — no separate systems

Most clinics end up with doctors tracked one way, nurses another, and admin on a spreadsheet. TheCheckIn consolidates all of them. One login, one dashboard, one export at payroll time — regardless of how different each person's schedule is.

Know immediately when a shift handover hasn't happened

If the PM nurse is supposed to arrive at 2pm and hasn't checked in by 2:10, you see it on the dashboard right then — not when the AM nurse calls to say they've been waiting for 30 minutes to leave. Early warning, not a post-incident report.

Face recognition without a biometric device

Fingerprint readers in clinical environments raise hygiene concerns — especially in post-pandemic contexts. Face recognition on the staff member's own phone avoids any shared contact point. Liveness detection means the check-in is the actual person, not a photo.

Clean records for labour compliance and audits

Healthcare employers often face strict requirements around working hours — particularly for nurses on long shifts. Every check-in and check-out is a permanent, tamper-proof record. Attendance data is available by date range for any audit or compliance review.

Questions from clinic owners and administrators

Real questions from healthcare practices setting up digital attendance for the first time.

A doctor can be registered in multiple branches within the same TheCheckIn account. Their attendance at each location is tracked separately and visible in one dashboard. For multi-branch clinics under the same owner, one account covers all locations.
No. TheCheckIn only records staff attendance — who checked in, when, and at which location. No patient names, no medical records, no clinical data. It's purely an HR attendance tool.
Face recognition processing uses AWS Rekognition. Facial data is not stored on the device. Only the attendance record — name, timestamp, location — is stored. Face data is used only to verify identity at check-in and is not shared with third parties or used for any other purpose.
Yes. Shift duration is configured by you — 8 hours, 12 hours, or custom lengths. Check-in time and check-out time are recorded regardless of how long the shift is. Hours are calculated automatically from the timestamps.
